Advanced phone and call routing
Every call goes where you want it, and every call ends up on the customer’s record. Here’s how a call moves through the phone system.
- 1A customer callsYour business number, or your current number forwarded to the line we set up for you.
- 2Hours checkYour hours for each day, your closed days, and an after-hours switch you can turn on for up to 7 days.
- AIOptionalThe AI receptionist can pick up firstIf you choose, it answers, gets what the call is about and the caller’s name, number and address, then connects the call. It says it’s an AI and that the call may be recorded.
- 3During hoursOpen: ring your teamThe office team on their computers, one person’s cell, or your office phone.3After hoursClosed: after-hours answeringTonight’s on-call tech, a person you pick, the AI receptionist, or voicemail. Callers can press 2 to reach the on-call tech.
- 4Nobody picks up?The AI receptionist takes the call, books the job or takes a message, or the caller leaves a voicemail.
- 5Logged to the customer’s recordEvery call lands in the call log with the customer, the outcome and the recording. AI writes the transcript, and calls the AI answers get a summary.
You pick the settings for each step in the app, under “Where do calls go?”, and a plain-words test shows exactly what happens to a call right now.
What the phone system does
Business hours and closed days
Set hours by day, add closed days, and switch to after-hours answering for up to 7 days when you need to.
Ring the office on their computers
Your office answers in the browser with a desk phone in the app. If nobody picks up, the call rings a backup person’s cell.
Live call board
See who’s available, who’s on a call and how many callers are waiting.
Screen pop and click-to-call
The customer’s record opens while the phone rings. Click any number in the app to call out, and the call is logged.
On-call schedule
Pick tonight’s on-call tech on the dispatch board or set a weekly schedule. After hours, callers can press 2 to reach them.
AI receptionist
Part of the phone system. It answers always, after hours only, or when nobody picks up. It books into open arrival windows, answers questions from your information, takes messages and transfers to a person.
After-hours emergencies
When the AI takes an after-hours emergency, it creates the job for tonight’s on-call tech, texts them, and tracks how fast your team responds.
Missed calls don’t disappear
When the AI has taken the details and nobody picks up the transfer, the call becomes a new lead for your team.
Recordings, transcripts and caller checks
Every call plays a recording notice. Recordings are kept 3 days (download any you need), with a transcript, a live transcript while you talk, and AI that checks the caller’s details against your records.
Two-way texting
Text customers from the app, and their replies come back to Texts, matched by phone number. STOP replies are honored.
Keep your number
We set up a line on our system and you forward your current number to it. Customers call the number they already know.
On Enterprise, enterprise phone is $799/month* for 2,000 calls a month (up to 6,000 minutes), with call recording. Call transcripts are $99/month more. Extra minutes are $0.15 each, or $0.31 each with transcripts*. Texting is quoted with your plan. On standard plans, the phone system is a paid add-on at $79/month*, with 1,000 call minutes and 500 texts a month* included. More about the phone system.
