  1. Step 1: Finish the setup tab

Open Settings → Automatic Messages and the Setup tab. Add your business mailing address (marketing email needs one; click Use my company address) and your review link. Click Save setup.

  2. Step 2: Pick the messages you want

On Messages, the built-in messages are: Appointment reminder, Tell customers when their appointment time changes, Review request, Overdue invoice reminders, Proposal follow-ups, Deposit reminder, Maintenance / tune-up due, Win-back and Birthday greeting. Every one starts off.

  3. Step 3: Tell customers about a new time

Tell customers when their appointment time changes sends a short note with the new time whenever a job’s date or arrival time changes (on the dispatch board, the job page or in the tech app): by email, and by text with the phone system add-on. Changes under 15 minutes, past dates and completed jobs are skipped. On the dispatch board you can still turn it on or off for each move with Tell the customer. It starts off like everything else.

  4. Step 4: The “On the way” text

Under Built-in messages, the “On the way” text is on from the start. When a tech taps En route in the tech app, on the dispatch board or on a job, the customer gets a text with the tech’s first name. It sends once per job, never to a customer who replied STOP, and it needs the phone system add-on. Switch it off here if you don’t want it. The one-tap On the way button on a job still works when it’s off.

  5. Step 5: Booking, technician and arrived texts

Three more Built-in messages are on from the start (they need the phone system add-on):

    • Booking confirmation text: when a job gets a date, the customer gets one text with the day and arrival window, and their tech if you’ve picked one. It goes about a minute after you save, so a quick undo or a tech pick lands first. To skip it for one job, untick Tell the customer on the dispatch board.
    • Meet your technician text: when you put a tech on a job that’s already booked (or change the tech), the customer gets “Payton will be your technician” with a link to a short card with their first name and photo. If the booking text already named them, this one is skipped.
    • Technician arrived text: when the tech taps Arrived or On site, the customer gets a short “Payton has arrived” text.

Each one sends once per job, never to a customer who replied STOP, and booking and technician texts wait until 8 AM if it’s after 9 PM. The On the way text now includes about how many minutes away the tech is (from their phone’s location) and the same tech card link. Each text shows on the customer’s Texts tab and as a note on the job.

  6. Step 6: Set timing and wording

Click Timing & message on one. Set when it goes out and edit the email and text wording. Click Preview to see it, and Reset wording to go back to ours.

  7. Step 7: Check your time zone

On the Setup tab, pick Your time zone and click Save setup. Reminders and every other message go out by that clock.

  8. Step 8: Send yourself a test

Click Send test to me before you turn anything on, and check Who gets it next? to see who it would reach.

  9. Step 9: Turn it on and watch the log

Switch it on. Each card says ON in green or OFF in red, and the line at the top counts how many are on. The Send log shows every message sent, and Customers lets you see who’s unsubscribed and resubscribe someone who asks.

Questions about this

Will it message my customers without asking me?

Every automatic message starts off, and you turn on only the ones you want. The one exception is the on-the-way text when a tech taps En route, which you can switch off. Emails include a one-click unsubscribe, frequency caps apply, and texts never go out between 9 PM and 8 AM.
