Delete a completed or paid job
Owners and admins can delete work that was completed or paid, with their password, and choose whether the invoice and payment stay in your books or are voided too. Office staff can ask an admin.
Free forever Not a trial. No card, no contract, unlimited users. Card payments cost 3.9% + 30¢. Our promise →
Step 1: Find the delete button
Open the job page (Dispatch or Jobs → open the job). Owners and admins see 🗑 Delete job next to Notify and Edit. Office and dispatch users see 🗑 Request delete instead. Techs don’t see it.
Step 2: Pick a reason
Choose Test job, Duplicate, Entered by mistake, Customer canceled (after payment) or Other. Other needs a short note. The reason is saved with who did it and when.
Step 3: Choose what happens to the money
Keep them hides the job from lists, schedules, reports and KPIs, and leaves the invoice and payment exactly as they are in your books, with a note on the invoice. You can restore it later.
Void them too voids the invoice and payment here and takes them out of your books. It’s only offered for test payments, cash or checks entered by mistake, imported records, and card or bank payments that are already fully refunded.
Step 4: A live card payment needs a refund first
If the job was paid by card and it hasn’t been refunded, Void them too is turned off with Refund it in Payments first, then come back. We never refund money from this screen. You can still delete with Keep them.
Step 5: Approve with your password
Owners and admins type their own password to delete. After 5 wrong tries it locks for 15 minutes.
Step 6: Office requests wait for an admin
When office staff press Request delete, your admins get a notice and the request waits under Settings → 🗑 Deleted Jobs. An admin can approve it with their password (and change the money choice) or deny it. The job stays live until then.
Step 7: See or restore deleted work
Settings → 🗑 Deleted Jobs lists everything deleted, with the reason and who approved it. Jobs deleted with Keep them have Restore. Voided ones say Voided, re-create if needed. The customer’s page keeps a “removed” line your office can see; the customer no longer sees it in their portal.

Questions about this
Is anything erased?
No. Deleted work is hidden, not erased. The reason, who asked, who approved and what happened to the money are all kept.
Does Keep them change my books?
No. The invoice and payment stay exactly as they are, so your deposits still tie out.
Can you refund the customer from here?
No. Refund card payments in Payments first. This screen only voids payments that aren’t real money anymore.
