Load your parts and stock

Bring in your parts list from a spreadsheet, put stock in the shop and on each truck, and link each part to the flat-rate task it bills as.

In the app: Field → Inventory5 stepsOpen it in the app →

  1. Step 1: Open the inventory editor

Open Field → Inventory. Search by name, SKU, barcode or vendor, and filter by category or location. Click any underlined value (name, category, cost, price, shop quantity) to change it right in the list. More on a row opens everything else.

  2. Step 2: Import your list

On the Import tab, pick a CSV or Excel file (or download the template first). Match each of your columns to ours: SKU, name, category, vendor, cost, sell price, unit, barcode, maker’s UPC, flat-rate task, bin, shop quantity, reorder point and one column per truck. Most columns are matched for you.

Click Preview changes. You’ll see which rows add a new part, which update one you already have (matched by SKU, then barcode, then name) and which have a problem. Nothing is saved until you click Import.

  3. Step 3: Set stock and reorder points

Open More on a row to set the shop bin, the reorder point and how many to order, and the quantity and reorder point on each truck. Every change is saved with a note in the item’s history.

  4. Step 4: Link parts to flat-rate tasks

In the Bills as column, pick the flat-rate task each part belongs to, for example a run capacitor bills as Capacitor replacement. On a residential job the customer sees that task’s price, not the part. A part that’s in exactly one task’s parts list is linked automatically.

  5. Step 5: Move, count and check value

Under More: Move stock from the shop to a truck (or back), Count a location, see what your stock is worth at cost, what needs reordering and the full history. Export CSV gives you the whole list.

Questions about this

Does every part need a barcode?

It gets one automatically: its SKU, or a short code if it has no SKU. A maker’s UPC on the box scans too.

My UPCs turned into numbers like 1.23E+11

Excel does that to long numbers. Format the column as Text before you save the file. The preview flags these rows so nothing wrong is imported.
