Step 1: Open Invoices
Click 🧾 Invoices in the side menu, right under Dispatch. Tabs across the top filter by Draft, Sent, Partly paid, Overdue, Paid and Void, each with a count, and the top right shows what’s still owed. Search by customer, invoice number, job number or phone, or pick dates.
Step 2: Make a new invoice
Tap + New invoice at the top of Invoices. Search for the customer (or add a new one right there), and link it to a job if you like. Add lines from your price book, or type your own. Set a discount, the invoice date, the due date and any notes. The totals, with tax, update as you go.
Then pick what happens when you save: Save as draft keeps it off your books until you send it. Save and send emails or texts it with a pay link and books it as money owed to you. Save, already paid also records the payment: cash, check, a card you ran outside the app, a bank transfer, or a card the customer saved with you. Paying part of it leaves the rest owed and the invoice shows as Partly paid.
Step 3: Read it without opening it
Each row shows the customer, job, date, total, balance and status, plus the first line of what the tech did. Most of the time that’s all you need.
Step 4: Click to open the invoice pane
Click any invoice, here or on a customer, a job, Dispatch (the 🧾 on a job card or Open invoice in the job panel) or anywhere else, and it opens in a pane on the right. The page behind it stays where it was. Drag the pane’s left edge to make it wider, and press Esc or × to close it. On a phone it slides up from the bottom. The link in your address bar opens the same invoice again.
Step 5: See the real invoice, with the notes right below
The top of the pane shows the invoice exactly as your customer sees it. Right below are What I did and What I found from the tech, the Note for the office (never printed) and the Invoice notes (printed on the invoice). Type in any of them and it saves on its own. What I found and What I did also print on the invoice, the emailed copy and the customer’s pay page under Work summary. The office note never does.
Step 6: Do everything from the pane
✏️ Edit lines changes items, quantities and prices right there. 📧 Email sends the invoice, 💬 Text pay link texts the customer a link to pay, 🖨 Print / PDF prints or saves it, 💵 Record payment logs cash, a check or a card you ran elsewhere, and 💳 Card pay page opens the secure pay page to take a card. ↩ Undo lets an owner or admin remove a draft or void a sent invoice with a reason.
